Product teams in your company need to get feedback to know whether the product is being used as planned or is solving the business needs. Understanding your customers' needs and expectations is crucial for any business looking to improve its products and services. An effective customer feedback campaign is not just about collecting data; it is also about turning the data into insights and taking action on it. Here's how you can leverage the latest tools to build an impactful customer feedback campaign

Define the Objective

The first step in any successful feedback campaign is clearly defining what you want to achieve. Are you looking to improve product usability, enhance user experience, or increase user satisfaction? For instance, XYZ software company might aim to enhance the user interface for better navigation. In this case, the software company knows precisely what it is trying to seek; instead of having broader objectives, it has specific goals related to the product's navigation.

How to run the campaign?

In the example of XYZ company, the 2nd step in their goal to improve navigation is to select the right tools to run the campaign.

Select right tools

Choose the tools that will help you collect the feedback effectively. There are plenty of tools available to launch a campaign and capture customer feedback in the customer experience tools landscape.

Make sure your tool will help you run the campaign in the product in real-time. You can create a custom campaign specific to this need, where you can ask the right question at the right time. A good tool will help you get more user feedback with compelling UI and UX.

There are the latest developments in the space where the user should also be able to leave their voice feedback. Tone is a product that allows the creation of voice-enabled feedback campaigns. It is easy for the user to leave voice feedback instead of text feedback.

Ensure your tool will also help you analyze the feedback and return insights by analyzing the feedback campaign, reducing the time needed to interpret and make decisions.

Design the survey

Designing your survey involves more than just asking questions. It's about asking the right questions in the right way at the right time. Keep your survey short, relevant, and engaging to ensure high completion rates.

For example, XYZ company can ask "On a scale of 1-10, how would you rate the experience of navigations from the main menu?" This question can be asked in the survey and can be asked from a widget placed temporarily somewhere on the menu bar.

Run the survey for a while and end it.

Tip: A promising tool will let you run this survey only for selected users, maybe a specific tenant.

There are many other ways of collecting responses, such as user interviews and observing users' actions through recording tools like Microsoft Clarity and Hotjar.

Analyze the Data

Once your survey is complete, the real work begins.  Analyzing the data to uncover actionable insights is critical. You should be able to know the score from the quantitative feedback, for example, from the nps rating scale. Here are the important Metrics to track, read this article. Through qualitative feedback, you can learn the sentiments, concerns, insights, and suggestions from the users. In the case of XYZ company, with quantitative feedback, they can analyze the distribution of the scores and average to take a call on whether or not to revisit the features. If there is a good amount of qualitative data for you through the user interviews, look for patterns or trends that indicate areas where you can make improvements.

Take action

Based on the analysis of the campaign data, teams can conclude the improvements they would like to make to the existing product. Prioritize the changes based on the impact and urgency of the changes. Have a dashboard of all the changes proposed, approved, in progress, and implemented. Let the users know that their feedback is taken and incorporated.

Building an effective customer feedback campaign enables you to harness deep insights into your users' experiences, leading to informed decisions that can significantly enhance product development and customer satisfaction. By defining clear objectives, selecting the right tools, designing thoughtful surveys, and analyzing the data effectively, you can turn user feedback into a powerful tool for growth and improvement. This structured approach ensures that every stage of the feedback process is optimized for success, making your feedback campaign a cornerstone of your customer engagement strategy.
